What “SAP in the pharmaceutical industry” means

In pharma, “SAP” usually means the company’s ERP backbone: the system that holds materials, batches, production orders, quality inspections, inventory, sales orders and the financial ledger. For a drug manufacturer, that is not just back-office software. Many of those records are GMP records, so the system that holds them is regulated too.

SAP positions its life sciences portfolio around SAP Business Suite and RISE with SAP as the ERP core, with industry add-ons for clinical supply, batch release, cell and gene therapy orchestration, and serialization. For most companies, the practical question is not whether to use SAP but which parts of it touch GxP data, and how those parts are controlled.

Core SAP modules for pharmaceutical companies

Most pharma SAP landscapes are built around the same handful of functional areas. Names vary by release, but the mapping below is the one most validation and quality teams work with.

AreaWhat it does in pharmaWhy quality cares
Materials management (MM) and procurementPurchasing of APIs, excipients and packaging; goods receiptApproved-supplier checks, receipt inspections, quarantine status
Production planning for process industries (PP-PI)Recipes, process orders, process instructionsMaster production records and executed batch data
Batch managementBatch creation, characteristics, expiry and traceabilityBatch genealogy for recalls and investigations
Quality management (QM)Inspection lots, results recording, usage decisions, quality notifications, certificatesRelease decisions and deviation/complaint records
Warehouse management (EWM)Bin-level stock, status-controlled storagePrevents use of quarantined or rejected stock
Sales and distribution (SD)Orders, deliveries, invoicingShip-to controls, recall reach
Finance and controlling (FI/CO)Ledger, costing, intercompanySOX scope for listed companies

SAP’s own training material shows how tightly these interlock. In S/4HANA QM, a scheduled report watches each batch’s best-before and next inspection dates, can move stock into quality inspection, create inspection lots and set expired batches to restricted status, and returns stock to unrestricted use only after a quality engineer’s usage decision. That is exactly the kind of automated GMP logic an inspector will expect you to have validated.

Independent comparisons describe QM as covering quality planning, inspection lots triggered by goods receipt, production and delivery, quality notifications linked to CAPA, and certificates of analysis. Many companies still run a separate eQMS for deviations and CAPA and integrate it with SAP, so the boundary between “ERP record” and “QMS record” needs to be written down.

Pharma-specific SAP solutions

Beyond the core ERP, SAP lists several life sciences solutions:

  • SAP Intelligent Clinical Supply Management for clinical trial supply, integrating with IRT and CTMS systems.
  • SAP Batch Release Hub for Life Sciences, which SAP says “automates and simplifies the batch release process”; its public example is Novartis consolidating data from 15 IT systems.
  • SAP Cell and Gene Therapy Orchestration for order-to-release and chain of identity.
  • SAP Advanced Track and Trace for Pharmaceuticals (ATTP) for serial number management.

SAP Business One for smaller pharma companies

SAP markets SAP Business One to small and midsize businesses, covering accounting, purchasing, sales, CRM, inventory and reporting. Its product page does not describe batch, serial or production features, so a small manufacturer or distributor considering it should confirm GMP-relevant capabilities (batch tracking, expiry, status control, audit trails) with the vendor or partner add-ons and plan to validate them.

GxP requirements that apply to SAP

An SAP system that holds GMP records falls under the same rules as any computerized system. For US drug manufacturers, three parts of the regulations matter most.

21 CFR 211.68. Computer systems used in manufacturing must have controls so that only authorized personnel change master production and control records, inputs and outputs are checked for accuracy, and backup data is kept exact, complete and secure.

21 CFR Part 11. For electronic records, §11.10 requires validation, accurate copies, access limits, authority and sequencing checks, and secure, computer-generated, time-stamped audit trails where “record changes shall not obscure previously recorded information.” In SAP, those translate into change documents, field-level audit logging for GMP-relevant tables, role design and electronic signatures on release steps.

EU GMP Annex 11. For companies supplying the EU, Annex 11 governs computerized systems. The European Commission ran a consultation from July 7 to October 7, 2025 on a revised Annex 11, a revised Chapter 4 on documentation, and a new Annex 22 on artificial intelligence. Analysts note the draft Annex 11 grew from 5 to 19 pages, with dedicated chapters on security, identity and access management, audit trails, supplier and service management, and periodic review.

Most pharma teams apply ISPE GAMP 5 (2nd edition, July 2022) to scale validation effort by risk, lean on supplier documentation and use critical thinking rather than generating paperwork for its own sake.

Serialization: SAP ATTP and DSCSA

Serialization is where SAP pharma searches are growing in 2026. Under the US Drug Supply Chain Security Act, FDA granted staggered exemptions from enhanced drug distribution security requirements: May 27, 2025 for manufacturers and repackagers, August 27, 2025 for wholesale distributors, and November 27, 2025 for dispensers with 26 or more full-time employees. FDA’s exemptions page now states that small-dispenser exemptions run until November 27, 2027.

In SAP landscapes, ATTP typically manages serial numbers and aggregation, while SAP’s newer Traceability Hub is described as a central repository with preconfigured DSCSA and EU FMD reporting and partner connectivity; SAP lists ATTP as compatible but not required. For quality teams, the GxP question is the same: how serial events, exceptions and corrections are recorded, reviewed and retained.

2026 priorities for SAP in pharma

  1. The 2027 maintenance deadline. SAP committed to mainstream maintenance for Business Suite 7 (ECC) until the end of 2027, with optional extended maintenance through 2030, and S/4HANA maintenance until 2040. Migration is covered in our companion article.
  2. Annex 11 and Annex 22. The revised drafts raise the bar on access management, audit trails and supplier oversight, and add AI-specific expectations.
  3. Serialization exceptions. With most DSCSA exemptions expired, data-exchange errors become operational and compliance risks at the same time.
  4. AI inside the ERP. SAP now markets Business AI across life sciences. Any AI that influences a GxP decision needs a defined intended use and validation evidence.

Common weaknesses

  • Validation documents that describe the standard SAP configuration but not the company’s custom code and interfaces.
  • Audit logging switched on for some GMP tables but not others, with no rationale.
  • Role design that lets the same user create, approve and release a batch.
  • No written boundary between SAP QM records and the separate eQMS.
  • Serialization exceptions resolved by IT without quality review.
  • Periodic reviews that check that the system is running, not whether its controls still work.

Checklist: SAP GxP readiness

  • Inventory every SAP module, custom object and interface that creates or changes GMP data
  • Classify each by GxP impact and record the rationale
  • Confirm audit trails are active on GMP-relevant tables and reviewed on a defined cadence
  • Review roles for segregation of duties on batch creation, QC results and usage decisions
  • Map electronic signatures to Part 11 requirements
  • Document the SAP/eQMS boundary for deviations, CAPA and complaints
  • Include serialization exceptions in quality review
  • Compare current controls to the draft Annex 11 chapters

How AskDona helps

SAP validation packages, batch records and audit-trail reviews generate thousands of pages of evidence. AskDona reads those documents against the requirements you choose, such as Part 11 §11.10, 21 CFR 211.68 or your own SOPs, and shows which requirement each piece of evidence supports and where gaps remain, with citations back to the source page. Run a sample GxP evidence review on SAP validation and batch records to see how it handles your own documents. AskDona shows the evidence; your quality team decides.

Editor’s note: SAP module names and product scope change between releases, and several sources here are vendor pages describing their own products. The revised Annex 11 and new Annex 22 were still drafts at the consultation stage cited; check the European Commission site for final text. DSCSA dates come from FDA and a law-firm summary; confirm your own obligations with counsel.

FAQ

What is SAP in the pharmaceutical industry? It is the ERP system many drug manufacturers use to run materials, production, batches, quality inspections, distribution and finance. Because it holds GMP records, it must be validated and controlled like any GxP computerized system.

Which SAP modules matter most for pharma? MM, PP-PI, batch management, QM, EWM, SD and FI/CO. QM and batch management carry the heaviest GMP load because they hold inspection results and release decisions.

Is SAP Part 11 compliant out of the box? No software is compliant by itself. Part 11 compliance depends on how you configure audit trails, access, electronic signatures and validation in your landscape.

What is SAP ATTP? SAP Advanced Track and Trace for Pharmaceuticals manages serial numbers for regulated products. SAP describes DSCSA and EU FMD data exchange as handled through its connected hubs, such as the Information Collaboration Hub and Traceability Hub.

Can a small pharma company use SAP Business One? SAP markets it to small and midsize businesses. Confirm batch, expiry and audit-trail capabilities and plan validation before using it for GMP records.
